The Challenge

For each of its many business transactions with suppliers, the client needed a completed Purchase Order (PO) for its services. The existing system was bogged down with notification delays and required extensive manual intervention to complete the requisitions.

The Goal: 

The amount of employee interference required to receive POs, approve them, and then manually construct requisition emails led to costly clerical errors and untimely payments to suppliers.

Management needed to develop an automated means of streamlining the PO approval method and improving their visibility without having to expend added personnel and labor hours in the process.

Our Solution

Solugenix worked with the client to swiftly implement a Robotic Process Automation (RPA) bot capable of replicating keystrokes and software interactions, leading to greater efficiency in the PO process and enhanced visibility for management.

The implementation of RPA did not require any changes to their software platforms. Additionally, the bots would reduce the number of errors while performing quality analysis and provide more consistent service delivery due to less fluctuations in workforce

The Results

With weekly reminders for PO requisitions now fully automated, thousands of approvals are consolidated into a single, user-friendly email. The expedited system greatly improved vendor relations and removed the need for human interference in the approval process.

By adopting RPA and auto-scheduling all aspects of the PO approval process, the company was able to eliminate a remarkable 3,500 estimated labor hours annually.
